The Gift Card Definitions module allows administrators to configure the gift card products available at the point of sale. Each definition links a specific inventory item to a store location and a payment type, and controls how the resulting gift cards behave - including how and when they expire and which GLS program they belong to.

Gift card definitions form the basis of gift card issuance. When a gift card item is sold at a configured location, the system uses the matching definition to determine how to create and record the gift card, and which payment type to use when the card is later redeemed.

Purpose of Gift Card Definitions¶

Gift card definitions are used to:

Link a gift card inventory item to a specific store location and payment type
Define how and when issued gift cards expire
Associate gift card definitions with a GLS program ID for program-level tracking and configuration
Control the payment type recorded when a gift card is redeemed during a transaction
Maintain a structured catalog of gift card configurations across store locations

Creating or Editing a Gift Card Definition¶

To create or modify a gift card definition:

Navigate to Currency → Gift Card Definitions.
Click the + button to create a new gift card definition, or click Edit next to an existing entry to modify it.
Enter the relevant configuration details.
Click Save to apply the changes, or Cancel to discard them.

Once saved, the gift card definition becomes active for the specified item and location combination. When that item is sold at the configured location, the system uses this definition to issue and record the gift card accordingly.

Available Fields¶

Field	Description	Field Behavior
Item ID	The inventory item associated with this gift card definition.	Required. Selected using the item lookup. This value is part of the definition’s unique identity (Item ID + Location + Payment Type). To “change” the item, create a new definition and remove the old one (if appropriate).
Location	The store or inventory location where this gift card definition applies.	Required. Selected from the location list. The definition is evaluated only for transactions created at this location. This value is part of the definition’s unique identity.
Payment Type	The payment type recorded when a gift card issued under this definition is redeemed.	Required. Selected from configured payment types (tenders). When a gift card created from this definition is redeemed, the POS records the redemption amount using this tender type. This value is part of the definition’s unique identity.
Expiration Type	Determines how or whether gift cards issued under this definition expire.	Required selection. Controls how the expiration date is determined at issuance time: Does Not Expire: no expiration date is assigned. Expires In X Days: the expiration date is calculated as “issue date + Expires In Days”. Enables the `Expires In Days` field. Expires On Fixed Date: the expiration date is a fixed date managed by the GLS program configuration; the POS uses the program’s configured expiry date rather than calculating it locally.
Expires In Days	Number of days after issuance before a gift card expires.	Conditionally required. Enabled only when Expiration Type is Expires In X Days. Must be a whole number of days. A value of `0` causes the gift card to expire immediately upon issuance. Ignored for all other expiration types.
Program ID	The GLS program identifier associated with this definition.	Optional. When provided, the issued gift card is associated to the specified GLS program for program-level rules and tracking. When blank or `0`, the gift card is issued without a program association.

Composite Record Identity¶

A gift card definition is uniquely identified by the combination of three fields:

Item ID (the inventory item representing the gift card product)
Location (the store location where the definition applies)
Payment Type (the tender type used when the card is redeemed)

All three values together form the unique key for each definition. The same item can have separate definitions for different locations or payment types, but no two definitions may share the same Item ID, Location, and Payment Type combination.

Operational Considerations¶

Create a separate gift card definition for each location where the item is sold; definitions cannot be shared across locations.
Ensure the selected Payment Type accurately reflects how gift card redemptions should be recorded; changing the Payment Type affects future redemptions only.
When using Expires In X Days, set Expires In Days correctly before saving. A value of 0 will cause cards to expire immediately on issuance.
Program IDs are managed in GLS; confirm the correct Program ID before assigning it to a definition.
Deleting a definition prevents new gift cards from being issued for that item/location/payment type combination but does not invalidate already issued gift cards.
Attempting to save a duplicate Item ID + Location + Payment Type combination will produce a validation error.
