Admin Settings

Administrative configuration options for system management.

Admin Settings control features that affect administrative workflows and management capabilities. These settings are typically configured during initial setup and adjusted as organizational policies change.

User Management

User Account Policies

Allow User Self-Registration

  • Can new users create accounts themselves?
  • Or must admin create accounts?
  • Default: Disabled (admin creates accounts)

To configure: 1. Settings → Admin 2. Find Self-Registration 3. Toggle On/Off 4. Save

Email Verification Required

  • New users must verify email address
  • Improves account security
  • Default: Enabled

Password Policies

Minimum Password Length

  • Minimum characters required
  • Range: 8-16 characters
  • Default: 12 characters

Require Complex Passwords

  • Must include uppercase, lowercase, numbers, symbols
  • Default: Enabled

Password Expiration

  • Days before password must be changed
  • 0 = Never expires
  • Default: 90 days

Prevent Password Reuse

  • Number of previous passwords to remember
  • Users can't reuse recent passwords
  • Range: 0-24 previous passwords
  • Default: 5 previous passwords

To update password policies: 1. Settings → Admin 2. Find Password Policies 3. Adjust each setting 4. Save

Account Lockout

Failed Login Attempts Before Lockout

  • How many incorrect passwords before account locks
  • Default: 5 attempts
  • Range: 3-10 attempts

Lockout Duration (Minutes)

  • How long account stays locked
  • Default: 30 minutes
  • 0 = Manual unlock only

To configure: 1. Settings → Admin 2. Find Account Lockout Policy 3. Set attempts and duration 4. Save

Administrative Actions

Audit Trail Settings

Enable Audit Trail

  • Log all admin actions
  • Default: Enabled
  • Should remain enabled for compliance

Audit Log Retention (Days)

  • How long to keep audit logs
  • Default: 365 days (1 year)
  • Longer retention = larger database

Log Admin Login/Logout

  • Track when admins access system
  • Default: Enabled
  • Important for security

To configure: 1. Settings → Admin 2. Find Audit Logging 3. Adjust settings 4. Save

Activity Logging

Log Configuration Changes

  • Track when settings are modified
  • Who changed it and when
  • Enabled by default

Log User Account Changes

  • Track when users are created/modified/deleted
  • Important for compliance
  • Enabled by default

Log Permission Changes

  • Track role and permission modifications
  • Enable for security-sensitive environments
  • Default: Enabled

Administrative Notifications

Alert Recipients

Admin Alert Email

  • Email address for system alerts
  • Multiple addresses: separate with commas
  • Example: admin@company.com, manager@company.com

To configure: 1. Settings → Admin 2. Find Alert Email Recipients 3. Enter email address(es) 4. Save 5. Test email delivery

Alert Types

Configure what triggers notifications:

  • Critical System Errors - System failures
  • Database Warnings - Disk space low, backups failed
  • Security Events - Failed logins, permission changes
  • Large Transactions - Sales above configured amount
  • User Activity - User locked out, new accounts created

To enable/disable specific alerts: 1. Settings → Admin 2. Find Alert Configuration 3. Check/uncheck alert types 4. Save

Backup Administration

Backup Schedule

Automatic Backup Frequency

  • Daily, Weekly, or Custom schedule
  • Default: Daily at 2:00 AM

Backup Time

  • What time to run backup
  • Should be during low-usage hours
  • Default: 2:00 AM (local time)

To configure: 1. Settings → Admin 2. Find Backup Schedule 3. Select frequency and time 4. Save

Backup Retention

Keep Backup For (Days)

  • How many days of backups to retain
  • Older backups automatically deleted
  • Default: 30 days
  • Recommendation: At least 30-90 days

Maximum Backup Storage

  • Maximum GB to allocate for backups
  • Oldest backups deleted if exceeded
  • Default: 100 GB

To configure: 1. Settings → Admin 2. Find Backup Retention 3. Set retention days and max storage 4. Save

Backup Verification

Verify Backup After Creation

  • Test that backup can be restored
  • Catches issues early
  • Default: Enabled
  • Adds time to backup process (10-15 minutes)

To enable/disable: 1. Settings → Admin 2. Find Backup Verification 3. Toggle On/Off 4. Save

Security Administration

Session Management

Maximum Concurrent Sessions Per User

  • How many simultaneous logins allowed
  • 0 = Unlimited
  • Default: 1 (one login per user)

To configure: 1. Settings → Admin 2. Find Concurrent Sessions 3. Enter maximum number 4. Save

IP Restrictions (if applicable)

Allowed IP Addresses

  • Restrict admin access to specific IPs
  • Useful for security in high-security environments
  • Example: 192.168.1.0/24, 10.0.0.0/8
  • Leave blank to allow all IPs

To configure: 1. Settings → Admin 2. Find IP Restrictions 3. Enter IP ranges (CIDR format) 4. Save

System Maintenance

Database Maintenance

Enable Automatic Maintenance

  • Optimize database performance
  • Default: Enabled
  • Runs during configured maintenance window

Maintenance Window

  • When to run maintenance tasks
  • Should be during low-usage hours
  • Example: 3:00 AM - 4:00 AM

To configure: 1. Settings → Admin 2. Find Maintenance Schedule 3. Set time window 4. Save

Cache Clearing

Auto-Clear Cache After (Days)

  • How often to clear application cache
  • 0 = Never auto-clear
  • Default: 7 days

Clear Cache Manually

  • Button to clear cache immediately
  • Use after major configuration changes
  • Requires restart to take effect

To clear cache: 1. Settings → Admin 2. Click Clear Cache Now button 3. Restart registers

Report Configuration

Report Settings

Default Report Date Range

  • What date range to show when reports open
  • Options: Today, This Week, This Month, Custom
  • Default: This Month

Reports Timezone

  • Timezone for report dates/times
  • Default: System timezone
  • Can be different if multi-timezone setup

To configure: 1. Settings → Admin 2. Find Report Settings 3. Select date range and timezone 4. Save

Report Archiving

Archive Reports After (Days)

  • How many days before archiving old reports
  • Archived reports still available but slow
  • Default: 90 days

Archive Storage Location

  • Where to archive (local, cloud, external)
  • Affects report retrieval speed

Administrator Best Practices

  • ✅ Review settings during initial setup
  • ✅ Document any custom configurations
  • ✅ Set appropriate password policies
  • ✅ Enable audit trail for compliance
  • ✅ Configure backup retention appropriately
  • ✅ Test backups regularly
  • ✅ Review audit logs periodically
  • ✅ Monitor alert emails
  • ✅ Update IP restrictions if needed
  • ✅ Schedule maintenance during low-usage times

Troubleshooting

Can't Access Admin Settings

  • Requires System Admin permission
  • Ask administrator or contact support

Settings Not Taking Effect

  • May require restart of all registers
  • Check that change was saved
  • Clear browser cache (Ctrl+Shift+Delete)
  • Verify user permissions

Backup Failed

  • Check disk space
  • Verify backup location is accessible
  • Check network connectivity (if cloud backup)
  • Review backup logs for errors

Audit Trail Growing Too Large

  • Increase log retention cleanup frequency
  • Archive old logs to external storage
  • Implement log rotation if available
