Whole-Sale Actions

These actions apply to the transaction as a whole rather than to a single line.

Whole-sale actions enable the following operations:

  • Apply discounts to the entire transaction
  • Add notes to the complete sale
  • Change customer class and tax settings
  • Void an entire sale
  • Switch to refund mode
  • Recalculate pricing and tax
  • Open the drawer without a transaction

Available Actions

Discount Sale

Opens the discount dialog showing the Discountable Total (sum of items), Discount Total (amount to deduct), and Adjusted Sale Total (final amount). You enter either a percentage or a fixed dollar amount. The discount is automatically spread proportionally across all eligible items.

When to use: Apply store promotions, loyalty discounts, or bulk order reductions to the entire transaction. See Applying Sale Discounts for complete details.

Sale Comment

Adds a free-text note against the entire transaction (not just one item). The comment prints on the receipt beneath the item list and can include delivery instructions, special requests, or other information relevant to the entire order.

When to use:

  • Special delivery instructions ("Leave at side door")
  • Gift messaging ("Happy Birthday!")
  • Order references ("Reference PO #12345")
  • Special requests the customer made
  • Any note that applies to the whole order, not just one item

Important:

Comments print on the receipt, so only include information the customer should see.

Customer Class

Changes the customer classification that drives pricing, tax rates, and price groups for this transaction. Changing the class mid-sale affects how items are priced and taxed.

When to use:

  • Customer reveals they qualify for a different pricing tier (e.g., contractor vs. retail)
  • Reseller provides resale certificate (changes from retail to wholesale pricing)
  • Employee discount applicable
  • Bulk purchase pricing qualifies

Critical: After changing customer class, you MUST click Recalculate to update all item prices and tax calculations to reflect the new class.

Void Sale

Confirms with "Are you sure you want to void this sale?" then permanently clears the entire transaction. All items, discounts, and payment information are removed. This action creates an audit record of the void.

When to use:

  • Customer changes their mind and leaves
  • Wrong items were scanned (easier to void and restart than fix each item)
  • System error or transaction corruption
  • Customer requests cancellation

Important:

Voiding clears EVERYTHING. If you just need to remove one item, use Void Item instead. If you entered the wrong discount, fix it before payment. Void should be a last resort.

Refund Sale

Permanently flips the entire transaction into refund mode (no undo except voiding the whole sale). Once activated, the system treats all items scanned as returns, not sales. Manager authorization is required.

When to use: Customer is returning merchandise and needs a refund.

Critical characteristics:

  • Once activated, refund mode cannot be switched back to normal mode
  • All items scanned after activating are treated as returns
  • Return information (reason codes, damage flags) must be provided
  • Stock is automatically returned to inventory when the refund completes

Important:

This action is permanent for that transaction. Confirm the customer is definitely returning items before clicking. If activated by mistake, you must void the entire sale and start over.

Recalculate

Re-prices and re-taxes the entire sale based on current transaction settings (customer, class, location). Item prices and tax amounts are recalculated to match the current configuration.

When to use after:

  • Attaching a different customer (their pricing tier applies)
  • Changing customer class (pricing and tax rules change)
  • Changing the sale location (location-specific pricing updates)
  • Modifying tax schedule or price group settings

Why this matters: If you change customer mid-sale but DON'T recalculate, items keep their old prices and tax calculations. Recalculate ensures accuracy.

Tip:

Always click Recalculate after ANY change to customer, class, or location. It only takes a moment and prevents pricing errors.

No Sale

Opens the cash drawer without creating or processing a transaction. The drawer opens, an audit record is created showing this was a "no sale" event, but no sale is processed.

When to use:

  • Making change for a customer (they're not buying anything)
  • Opening the drawer for non-transaction purposes
  • Removing cash for operator needs (separate from official cash pulls)
  • Testing drawer operation

Important:

This creates an audit record showing drawer activity without a sale. Use it appropriately to maintain clear audit trails.

Actions That Need an Empty Sale

Reprint, pay out, recalling a quote and logging off all require the current sale to be finished or clear first. The message displays: "The current sale must be cleared before …" or "This action requires an empty sale. Void the sale or remove all items first."

Drawer Limit Reached

"The drawer balance has exceeded the register limit. New sales cannot be started until cash is pulled from the drawer."- a Cash Pull should be performed from the Home screen before selling can continue.

Remember

Discount Sale spreads the discount across all eligible items automatically. Recalculate is essential when customer or class is changed mid-transaction. Void Sale clears everything - it should be used carefully. Sale Comments print on receipts, so they should be used for relevant information the customer should see. Refund Sale is permanent once activated - there is no undo except voiding the entire transaction.
