Return or add cash to your drawer during a shift while maintaining transaction records.

Overview

The Add Cash function allows you to:

  • Return cash previously pulled from the drawer
  • Add operating change to the drawer if needed
  • Receive cash from manager (loan, exchange, etc.)
  • Maintain audit trail of cash additions
  • Keep the drawer open for continued operations

This is useful when you need to replenish drawer change or return cash from temporary storage.

When to Use Add Cash

Replenishing Change:

  • Running low on small bills or coins
  • Need specific denominations for customer transactions
  • Exchange high-value bills for operating change

Returning Cash:

  • Put back cash you previously pulled
  • Return excess cash during shift
  • Process cash transfers from manager

Cash Management:

  • Receive cash loan or float from manager
  • Balance drawer when operating change is depleted
  • Support customer transactions requiring change

Step-by-Step Add Cash Process

1. Verify Drawer is Open

  • Ensure drawer is already open for your shift
  • If not opened, process a sale first (F1) to open
  • Cannot add cash to a closed drawer

2. Request Cash Addition (if from manager)

  • If receiving cash from manager:
  • Inform manager you need cash added
  • Manager may provide cash directly
  • Manager may authorize you to add from float drawer
  • Coordinate the handoff

3. Initiate Add Cash

  • This may be through:
  • Manual drawer access
  • Manager interface
  • POS menu function
  • Direct manager authorization

4. Receive or Obtain Cash

  • Receive cash from manager
  • Or retrieve from authorized float drawer/safe
  • Verify denominations and amounts
  • Count before adding to drawer

5. Add Cash to Drawer

  • Open the drawer (if not already open)
  • Place cash in appropriate drawer slots
  • Organize by denomination
  • Close drawer gently

6. Report Cash Addition

  • If manager provided:
  • Acknowledge receipt
  • Confirm amount received
  • If self-service:
  • Record amount in system (if required)
  • Document in any required log

7. Continue Operations

  • Drawer remains open
  • You can immediately resume processing sales
  • Added cash is available for making change

Scenario 1: Low on Change

Situation: Running low on small bills for customer change

  3. Receive change from float drawer or manager
  4. Add to your drawer
  5. Continue operations

Scenario 2: Returning Pulled Cash

Situation: You pulled cash earlier and now want to return it

Process:

  1. Open your drawer
  2. Add the cash back to appropriate slots
  3. No formal procedure needed
  4. Reconciliation at close will balance it out

Scenario 3: Manager Float Addition

Situation: Manager provides cash float to support sales

Process:

  1. Manager hands you cash envelope
  2. Verify amount and document
  3. Add to your drawer
  4. Acknowledge receipt to manager
  5. This is tracked in audit trail
  6. Will be accounted for at close

Scenario 4: Cash Loan from Manager

Situation: Temporarily short on cash, manager provides loan

Process:

  1. Request loan from manager (e.g., "Need $100 float")
  2. Manager provides cash
  3. Document as manager loan (if required)
  4. Add to drawer
  5. Repay from drawer at close (deducted from your count)
  6. Manager documents the loan/repayment

Add Cash Best Practices

DO:

  • ✓ Always receive authorized cash only
  • ✓ Count cash before adding to drawer

Common Add Cash Issues

Problem: Can't Verify Amount Received

Situation: Manager provided cash but amount unclear

Solution:

  1. Ask manager to confirm amount
  2. Count the cash yourself
  3. Document what you received
  4. Get manager's signature/initials if possible
  5. This will be verified at close

Problem: Added Cash But Drawer Not Balanced

Situation: Cash in drawer doesn't match expected total

Solution:

  1. At close, reconciliation will show the discrepancy
  2. Review all pulls and additions
  3. Discuss with manager if there's a gap
  4. Physical recount may be needed
  5. Manager will investigate if significant

Problem: Manager Loan Not Repaid

Situation: Closing time but drawer short for loan repayment

Solution:

  1. Inform manager before closing
  2. Manager may:
  3. Accept reduced closing count
  4. Extend loan to next shift
  5. Adjust records
  6. Have you work it out
  7. Document with manager
  8. Do NOT force close with discrepancy

Add Cash Audit Trail

All cash additions are tracked:

  • Date and Time: When cash was added
  • Amount: How much was added
  • Operator: Who added it (if self-service)
  • Manager: Who authorized it
  • Purpose: Change float, return, loan, etc.
  • Reference: Any related transactions

This creates a complete record for:
