Sale History & Reporting¶
View, search, and analyze completed transactions and sales data.
Overview¶
Kensium Point-of-Sale keeps a complete record of all completed sales. You can:
- Search for specific transactions
- View transaction details
- Reprint receipts
- Generate reports
- Audit records
All completed transactions are permanently stored and cannot be deleted (for audit compliance).
Accessing Sale History¶
From the Home Page, look for "Reports" or "History" section and select "Sale History."
Required Permission: Your user group must have "View Sales History" permission.
Access Level: - Managers/Admins: See all sales - Cashiers: See only own sales - Supervisors: See team sales
How to Search¶
By Transaction Number¶
Use when: Customer remembers the transaction number or you need one specific sale. - Enter the transaction number (e.g., TXN-001234) - Results appear instantly
By Date Range¶
Use when: Looking for sales from a specific day, week, or month. - Enter start date and end date - Shows all sales in that period
By Employee/Operator¶
Use when: Manager reviewing an employee's sales for evaluation or audit. - Select the employee name - Optionally add a date range - Shows all sales by that employee
By Customer¶
Use when: Customer needs a receipt or you want to see their purchase history. - Enter customer name - Optional: Add date range - Shows all sales to that customer
By Payment Method¶
Use when: Reconciling credit card batches or finding specific payment types. - Select payment type (Cash, Card, Check, etc.) - Optional: Add amount range and date range - Shows matching transactions
By Amount¶
Use when: Auditing large transactions or finding sales within a price range. - Set minimum and maximum amounts - Optional: Add date range - Shows all sales in that price range
By Product¶
Use when: Finding how many of a specific item were sold. - Enter product name or code - Shows all transactions containing that product
Quick Examples¶
Find your credit card sales from yesterday: 1. Operator: Your name 2. Date: Yesterday 3. Payment: Credit Card
Find large cash sales from the past week: 1. Date: Last 7 days 2. Amount: $200+ 3. Payment: Cash
Get a customer's purchase history: 1. Customer: John Doe 2. Date range: Last 90 days
What You'll See in Results¶
Each transaction shows:
- Transaction Number (TXN-001234)
- Date & Time (2026-01-20 14:35)
- Items Sold (with quantity, price, discount, tax)
- Total Amount
- Payment Method (how they paid)
- Operator (who processed it)
- Customer (if recorded)

Reprinting Receipts¶
When You Might Need to Reprint¶
- Customer lost or damaged receipt
- Customer needs receipt for warranty or return
- Manager needs copy for audit
How to Reprint¶
- Search for the original transaction
- Click "Reprint Receipt"
- Receipt prints marked as [REPRINT]
- Give to customer
Reports¶
Available Reports¶
Daily Summary - Total sales, tax, refunds - Breakdown by payment method - Use: End-of-day reconciliation
Transaction Detail - Every transaction with all items and prices - Use: Detailed audit, inventory check
Payment Summary - Totals by payment method (Cash, Card, Check) - Use: Payment method verification
Operator Performance - Sales by employee, transaction count, averages - Use: Employee evaluation
Tax Report - Tax collected by location - Use: Tax filing, compliance
Discount Report - All discounts given, who authorized - Use: Verify discounts are within policy
Refund Report - Returns processed, reasons, refund amounts - Use: Product quality analysis
Exporting Data¶
You can export reports as: - CSV (for Excel, Google Sheets) - PDF (for printing/email) - Excel (for spreadsheet work)
- Generate your report
- Click "Export"
- Select format
- File downloads to your computer
Data Retention¶
- All transactions: Kept permanently (never deleted)
- Receipts: Kept 7+ years (per tax requirements)
- Daily backups: Stored off-site
